"MAKING A GOOD IMPRESSION: Assembling a Portfolio-Part I"
Tip # 1: Contacting a Gallery Director by Email by Anita Winstanley-RoarkThis month I will begin a series of "Do's and Don'ts" designed to help artists make a good impression when contacting a gallery for possible inclusion into the gallery's roster. There are a couple of important points to bear in mind when first contacting a gallery via email regarding review of your work. Firstly, do your homework prior to contacting any gallery. For example don't bother contacting a gallery exhibiting abstract art with your representational art. You're wasting not only the gallery director's time but yours as well. Do not limit your research to the Internet; there are the many art-oriented publications currently available for reference. When investigating galleries be sure to note the director's name. By contacting the director personally you will assure your email goes to the person who is in charge of reviewing artwork for the gallery. By doing so you will be have indicated a sincere interest in the gallery in a very subtle but meaningful way. It is only human nature to take more time with those who contact you personally rather than those who have bulk mailed hundreds of impersonal form letters. Secondly, remember to exercise the same thoughtfulness when contacting the gallery in person or by mail. Introduce yourself in a professional and personable manner. Most importantly, do not attach an image to your first email lest you anger the gallery director whom you are trying to interest. Long attachments require a lot of time to download, thereby keeping the director from getting to his or her other important email messages. Instead, make your first contact show that you are considerate of the director's time. Gallery directors are like anyone else: they appreciate your politeness and the fact that you are keeping the first contact brief and to the point. Let your first contact show your professionalism by inquiring as to the gallery policies concerning the review of artwork.
Along with your email address, telephone number, and street address be sure to include your web page address if you have one. This way the director can visit your site at a convenient time to review your work and biographical information in an unhurried manner. Be sure to type the complete web address so that a gallery can hyper-link to it directly from your email, i.e. http://www.yourwebpageaddress.com.If the gallery director requests that you email attached files to the gallery, be sure to keep the files to a reasonable size. If possible, use any one of a number of good programs that are currently available to condense your images. This will speed up your download time and, more importantly, the director's upload time. Remember that email is a powerful tool and one of the main reasons it is so popular is that it is fast. So whatever you can do to decrease your loading time will improve your "image" with the gallery!
